Why an AI Adoption Framework is needed?

AI is not a plug-and-play technology; it's an evolving asset that demands ongoing attention. The intricacies of implementing and scaling AI often extend beyond mere technicalities to ethical, business, and regulatory implications. A structured guide that can be followed, adapted, and referred back to is therefore critical for any organisation aspiring to make AI a core part of their business.

Understanding the Framework

The framework offers four dynamic, interconnected stages—Prepare, Align, Observe, and Engage—that provide a roadmap for AI adoption.

1. Prepare

This initial stage sets the groundwork, emphasising the importance of getting your data, goals, and metrics ready for AI. A thorough preparation phase ensures that the AI solutions align effectively with organisational objectives and rest on a foundation of quality data.

  • Data: Do you have the data, do you own it? Can you access it? What format is it in? Assess the quality and cleanliness of your data.

  • Goals: What problem or opportunity is the AI solving? What alternative ways to AI do we have to solve this? Why should we use AI?

  • Metrics: How do you define and measure success? What leading and lagging metrics are we measuring? What's the acceptable accuracy?

2. Align

This stage helps organisations identify and navigate risks, ensure compliance, and establish necessary oversight mechanisms, safeguarding against undesired outcomes.

  • Risks: What biases can the system have? How do you eliminate them? Discuss privacy and security measures.
  • Regulations: Comply with your internal AI policy (that should include your company values). National, Regional and International regulations are shaping still and will likely need to be updated frequently so keep up with them.
  • Human Oversight: Determine appropriate human oversight. When/where it is needed? How will it be achieved?

3. Observe

This stage calls for ongoing scrutiny of data inputs, outputs, and key performance indicators (KPIs) to ensure that the systems are performing as intended and are aligned with organisational goals. Active engagement drives adoption.

  • What: Track data inputs, outputs, Goals and KPIs, are they changing? Do they need to change?
  • Who: Who is accountable for monitoring the AI? Which ways do we select to monitor it? Manual, Automatic, Hybrid? What do we do with the results? Who should be notified of the observation process and outcomes?
  • How often: What is the minimum frequency of observation? What is the ideal frequency of observation?

4. Engage

Involving people and stakeholders throughout the AI lifecycle fosters a collaborative environment, which is crucial for the long-term success of any AI initiative. Active engagement helps refine AI strategies over time and improve adoption rates.

Stakeholders: Who are they? What is their AI appetite? What do they care about? What are their fears? Recognise that everyone is different.

Communication: Share progress with and gather feedback from the right stakeholders, with the right frequency. What, How and When should you communicate?

Training: Provide training that makes stakeholders trust the AI. What do they need to be trained on? When should we train them? Who should train them?
